Wavo Health Refund Policy

This article outlines our refund policy, ensuring transparency about when and how refunds can be processed.


Trials

Eligible users can start one 7-day trial of a Wavo self-serve plan.

During the trial:

  • No subscription charge is made

  • You can cancel anytime before the trial ends to avoid billing

  • The trial applies once per account

If you have already used a trial previously, Wavo may show paid subscription options without offering another free trial.


Refunds for Monthly Plans

If you were charged for a monthly subscription and believe there was a billing issue, please contact our team within 7 days of the charge.

To request a billing review, email:

If the charge was made in error, we’ll review the account and process an appropriate refund when applicable.

Approved refunds for verified billing issues are typically processed within 3–5 business days.


Refunds for Yearly Plans

If you purchased a yearly subscription and need assistance with a billing issue, contact us within 30 days of the yearly charge.

Yearly-plan refund requests are reviewed on a case-by-case basis and may consider:

  • Account usage

  • Timing of the request

  • Processing and infrastructure costs

When applicable, refunds may be prorated and may include a processing fee.


After the Refund Review Window

After the monthly or yearly refund-review period has passed, refunds generally cannot be provided.

This is because Wavo incurs ongoing operational costs related to:

  • AI transcription and note generation

  • Clinical AI processing

  • Secure cloud infrastructure

  • Data storage and encryption

You can still cancel your subscription at any time, and your account will remain active until the end of your current billing cycle.


How to Cancel Your Subscription

To cancel your subscription:

  1. Sign in to Wavo Health at https://secure.wavo.health/en/sign-in

  2. Open your Account or Subscription Settings

  3. Select Manage Subscription

  4. Follow the cancellation prompts

If you subscribed through the Apple App Store or Google Play Store, cancellations must be managed directly through your mobile subscription settings.


Legacy and Grandfathered Plans

Some existing customers are on legacy Wavo plans with grandfathered pricing and Intelligence-level access.

Please note:

  • Switching from a legacy plan to a current Starter, Pro, or Intelligence plan may move your subscription to current pricing

  • Legacy pricing may not be recoverable after switching or canceling

Requesting a Refund Review

To request a refund review, email [email protected] and include:

  • The email address associated with your Wavo account

  • The charge date and amount

  • A short description of the issue

Our team will review your request and respond as soon as possible.


Additional Billing Information

Billing Cadence

  • Monthly and yearly subscriptions renew automatically based on the billing option selected during checkout.

Payment Security

  • Payments are securely processed through Stripe using major credit cards and supported payment methods.

No Hidden Fees

  • Wavo does not charge hidden platform fees beyond the subscription pricing shown during checkout.
