At Wavo Health, we aim to provide clarity and fairness with our refund policy while balancing the operational costs of our AI-driven clinical scribe. This article outlines when and how you can request a refund, how to cancel your subscription, and why our policy is structured this way.


Our Refund Policy

Wavo Health offers a 30-day free trial for the Wavo Pro plan to help you evaluate the platform (updated from 14 days, per recent changes). Below is a breakdown of our refund policy, reflecting the costs of running AI models for transcription, template generation, and HIPAA-compliant data processing:

During the Free Trial (30 Days)

No charges apply during the 30-day trial, so no refunds are needed. You can cancel anytime to avoid charges.

7-Day Grace Period After Trial

After the trial, if you start the $75/month plan, you have 7 days from the first charge to request a full refund. For example, if your trial ends on June 1, your first charge is on June 2, and you can request a refund by June 9.

Annual Plan (30-Day Window)

If you choose the annual plan ($720/year), you can cancel within 30 days for a pro-rated refund, minus a $50 processing fee to cover AI setup costs. After 30 days, no refunds are offered.

After Grace Period

After the 7-day grace period (or 30 days for annual plans), we cannot offer refunds due to ongoing AI costs (e.g., transcription, data storage). You can cancel anytime, and access will continue until the end of your billing cycle with no further charges.


How to Cancel Your Subscription

To avoid charges after the trial or to cancel an active subscription:

  1. Log In: Sign in to Wavo Health at https://secure.wavo.health/en/sign-in.

  2. Go to Manage Subscription: Navigate to “Manage Subscription” in your profile settings.

  3. Cancel Subscription: Follow the prompts to cancel. You’ll receive a confirmation email once completed.

    • During Trial: Cancel before the 30-day trial ends to avoid charges.

    • After Trial: Cancel anytime—your account remains active until the billing cycle ends, with no further charges.


Requesting a Refund

  • For Billing Errors:

    • Contact Us: Email [email protected] with your account details (e.g., email used for the subscription) and a description of the issue.

    • Processing Time: Refunds for billing errors are processed within 3-5 business days, with a confirmation email sent to you.

  • Within Grace Periods:

    • 7-Day Grace Period (Monthly Plan): Email [email protected] within 7 days of your first charge to request a full refund.

    • 30-Day Window (Annual Plan): Email us within 30 days of starting your annual plan for a pro-rated refund, minus the $50 fee.

  • Need Help?: Book a time to speak with our team—we typically respond within an hour.


Why We Can’t Offer Refunds After Grace Periods

Running Wavo Health involves significant costs for AI operations, including real-time transcription, data processing, and secure storage under HIPAA, HITECH, and SOC2 Type 2 compliance. These costs start as soon as your subscription begins, making it challenging to offer refunds after the 7-day grace period (or 30 days for annual plans). We encourage you to use the 30-day free trial and grace period to ensure Wavo meets your needs.
