Using Community and Organization Templates in Wavo Health

Template Library, use shared templates, publish templates to the community, and share templates with members of your organization.


What Are Shared Templates?

Templates help standardize your clinical documentation and make it easier to reuse note structures across different providers and specialties.

The Template Library includes three types of templates:

  • Built-in templates – Created and maintained by Wavo.

  • Community templates – Shared publicly by other Wavo users.

  • Organization templates – Shared privately within your organization.

Using a shared template never replaces your existing templates. Instead, Wavo creates a personal copy that you can edit without affecting the original.


Open the Template Library

To browse available templates:

  1. Open Templates.

  2. Click Template Library.

From the Template Library you can:

  • Browse templates

  • Search and filter

  • Preview templates

  • Copy templates

  • Customize before saving

To return to your own templates, click Back to Templates.


Browse and Filter Templates

The Template Library lets you quickly find templates that match your workflow.

Filter by source

Choose from:

  • All – Shows every available template.

  • Built-in – Official Wavo templates.

  • Organization – Templates shared within your organization.

  • Community – Templates shared publicly by other users.

Search

Search by:

  • Template name

  • Description

  • Tags

  • Author specialty

Filter by specialty

Choose a specialty manually or use My Specialty to show templates that match your saved specialty.

Sort results

Sort templates by:

  • Recommended

  • Most Used

  • Highest Rated

  • Newest

Tip: Organization templates are often prioritized because they're typically the most relevant for your team's workflow.


Use or Customize a Template

Selecting a template opens a preview showing:

  • Template name

  • Description

  • Source

  • Author (when available)

  • Sections included

You have two options:

Use Template

Creates a copy in your personal Templates list.

Customize

Opens the Template Builder so you can edit the template before saving.

Any changes you make only affect your copy. The original shared template remains unchanged.


Share a Template with the Community

Publishing a template allows other Wavo users to discover and use it.

To share a template:

  1. Open Templates.

  2. Locate the template.

  3. Open the Actions menu.

  4. Click Share.

  5. Select Community.

  6. Optionally add:

    • Description

    • Specialty

    • Tags

  7. Click Share with Community.

If you don't add tags, Wavo may automatically generate a few based on the template's content.

After publishing, your template will display a Shared Publicly status.


Share a Template with Your Organization

Organization templates are only visible to members of your organization.

To share one:

  1. Open Templates.

  2. Select your template.

  3. Click Share.

  4. Choose Organization.

  5. Confirm the organization.

  6. Optionally add a description or tags.

  7. Click Share with Organization.

Members of your organization can then open the Template Library, choose Organization, and copy or customize the template.

If you don't see the Organization option, make sure:

  • You're signed in.

  • You belong to an organization.

  • The correct organization is currently active.


Shared Template Status

Templates display a status showing how they're shared.

Possible statuses include:

  • Shared Publicly

  • Shared with Organization

  • Shared Publicly + Organization

  • Default

A template can be both your Default template and a shared template at the same time.


Remove Organization Sharing

If you no longer want to share a template with your organization:

  1. Open the template's Share dialog.

  2. Select Organization.

  3. Click Remove from Organization.

This only removes the shared version. Your personal template remains unchanged.


Privacy and Safety

Before sharing any template:

  • Remove all patient information.

  • Never include names, dates of birth, health card numbers, contact information, or other protected health information.

  • Share templates that are reusable and applicable to a broad audience.

  • Review your instructions to ensure they reflect your intended workflow.

Community templates are visible to all Wavo users.

Organization templates are only visible to members of your organization.


Troubleshooting

I shared a template, but I don't see it

Refresh the page and make sure you're viewing the correct source in the Template Library.


I belong to an organization, but no organization is selected

Reselect your organization, refresh Wavo, and try again.

If the issue continues, contact support.


My specialty is incorrect

Update your specialty from Settings. The Template Library uses this information when recommending templates.


Can the original author see my edits?

No.

Every shared template is copied into your own account before you edit it.


Can I edit someone else's template?

You can edit your own copy, but you cannot modify the original template unless you are its owner.


Can I share the same template publicly and with my organization?

Yes.

A template can be shared:

  • Publicly

  • With your organization

  • Or both at the same time
