Copying and Creating Documents from Dictated Notes in Wavo Health

Wavo Health makes it easy to copy dictated notes for external use or create formatted documents for printing and sharing.

Copying a Dictated Note

If you need the raw dictated text (e.g., to paste into another system), you can copy it directly:

Step 1: Access Your Dictated Note

  • Log In: Sign in to Wavo Health at https://secure.wavo.health/en/sign-in.

  • Go to Encounters: From the sidebar, click “Encounters” to view your list of notes.

  • Select a Note: Click on the encounter containing the dictated note you want to copy.

Step 2: Copy the Raw Text

  • Switch to Dictation Tab: In the note editor, click the “Dictation” tab to view the raw transcribed text.

  • Copy the Text: Highlight the text in the “Dictation Notes” section, right-click, and select “Copy” (or press Ctrl+C/Command+C).

  • Paste Elsewhere: Paste the text into another application (e.g., a Word document or EMR system) for your records.

Note: The raw dictated text may not include formatting like bullet points or sections unless you applied a template during transcription.


Creating a Formatted Document from a Dictated Note

To create a printable or shareable document (e.g., a PDF), you’ll need to format the dictated note into a structured clinical note:

Step 1: Apply a Template (Optional but Recommended)

  • Start with Your Dictated Note: In the note editor, ensure your dictated note is in the “Dictation” tab.

  • Choose a Template: Use the template dropdown (e.g., “Mental Health Note” or “SOAP”) to structure the note. Wavo’s AI will organize the dictation into sections like “Chief Complaint” or “Treatment Plan.”

  • Review the Formatted Note: Switch to the “Clinical Note” tab to see the structured output.

Step 2: Refine with Smart Transform (Optional)

  • Adjust Formatting: If needed, click “Smart Transform” and enter instructions like “Remove bullet points” or “Make it more concise” to refine the note without manual edits (see ).

  • Preview Changes: Review the updated note in the editor.

Step 3: Export or Print the Document

  • Export as PDF: Click the “Export PDF” button in the note editor to download the formatted note as a PDF, which you can print or share.

  • Copy Formatted Text: Alternatively, click “Copy Text” to copy the structured note and paste it into another application.

  • Save for Records: Click “Save” to store the note in the patient’s record within Wavo.


Tips for Working with Dictated Notes

  • Use Templates for Structure: Applying a template during or after dictation ensures your note is organized and ready for professional use (see ).

  • Test with a Demo: Try a demo note (click “Try Demo Note” on the dashboard) to practice copying or formatting dictated text.

  • Combine with Dictation Mode: When dictating, avoid pauses that trigger automatic formatting if you want raw text (see ).


Troubleshooting

  • Formatting Not Applied?: Ensure you’ve selected a template before exporting. Raw dictated text won’t include formatting unless a template is applied.

  • Can’t Copy Text?: Make sure you’re in the “Dictation” tab for raw text or “Clinical Note” tab for formatted text.
