Whether you’re preparing for a patient visit or capturing observations during the encounter, the Notes tab makes it easy to add information that may not be spoken aloud or included in the recording.
Content added in the Notes tab can be referenced during the encounter and later incorporated into your final clinical note, helping you create more complete and accurate documentation.
Why Use the Notes Tab?
The Notes tab is designed to capture information that falls outside of dictation or recording but is still clinically important:
Pre-encounter preparation
Add patient background, reminders, or questions before the visit begins.During-encounter observations
Capture real-time details that may not be spoken aloud, such as affect, behavior, or offhand remarks.More complete clinical records
Ensure your final note reflects all relevant information—even if it wasn’t part of the recorded dialogue.
Adding Information Before an Encounter
Prepare for a visit by adding notes in advance.
Step 1: Start a New Encounter
Sign in to Wavo Health at
https://secure.wavo.health/en/sign-inFrom the sidebar, click New Encounter to start a new session.
Step 2: Add Notes Before the Visit
On the right side of the encounter screen, locate the Notes tab (notepad icon).
Click the tab to open the text area.
Enter any information you want to reference during the visit, such as:
“Patient history: Recently diagnosed with anxiety, on sertraline 50 mg.”
“Reminder: Discuss sleep patterns and recent stressors.”
“Question: Any side effects from current medications?”
Your notes autosave as you type—no manual saving required.
Step 3: Reference Notes During the Encounter
Keep the Notes tab open on the side of the screen while speaking with the patient.
You can reference your pre-added notes during dictation or choose to integrate them into the final note afterward.
Adding Information During an Encounter
Capture observations and details in real time while the encounter is happening.
Step 1: Start Recording or Dictation
Begin the encounter using Dictation Mode or Telemedicine Mode.
The Notes tab remains available on the right side of the screen throughout the session.
Step 2: Add Notes in Real Time
While speaking with the patient, type into the Notes tab to capture details that may not be said aloud, such as:
“Patient appeared anxious when discussing work stress.”
“Improved eye contact compared to last visit.”
“Patient mentioned feeling more hopeful.”
Your notes are automatically saved as you type.
Step 3: Integrate Notes into the Final Clinical Note
After the encounter ends:
Wavo generates a clinical note based on the recorded conversation.
Copy relevant content from the Notes tab.
Paste it into the appropriate section of the Clinical Note tab (for example, Behavioral Observations).
(Optional) Use Smart Transform with an instruction like:
“Add this content to the Behavioral Observations section.”
This allows the AI to integrate your notes without manual editing.
Uploading Documents for Additional AI Context
In addition to typed notes, you can upload supporting documents directly into the Notes and Context section to give the AI scribe more background.
Upload files
Click the upload icon in the Notes and Context section or drag and drop files into the area.Supported files
PDFs, Word documents (.docx), text files (.txt), and images (PNG, JPEG, GIF, WebP), up to 200 MB per file.Automatic text extraction
Wavo extracts text from uploaded files. A green checkmark indicates the content is ready.
Uploaded documents—such as lab results, imaging reports, or referral letters—are included as context when drafting your clinical note and can be referenced by the AI Assistant.

Notes not saving?
The Notes tab autosaves. Check your internet connection and refresh the page if needed.
Can’t find the Notes tab?
Look for the notepad icon on the right side of the encounter screen.
