Uploading Audio Files from Your Mobile Device to Wavo Health

Wavo Health makes it simple to upload audio files from your mobile device—like an iPhone—for automatic transcription into clinical notes.

Supported Audio File Types

Wavo Health accepts multiple audio file formats, including:

  • MP3: Common for recordings and widely compatible.

  • M4A: Often used by iPhones for voice memos—perfect for quick dictations.

  • WAV, AAC, and more: Wavo supports a variety of formats to ensure flexibility.

Once uploaded, your audio file will be transcribed into a structured note, labeled by speakers (e.g., patient, clinician), and ready for review or export (see Wavo Health Features Overview).


How to Upload Audio Files from Your Mobile Device

You can upload audio files in two ways: directly from a document or via the documents page dashboard. Here’s how:

Option 1: Upload from a Note

  1. Log In on Your Mobile Device:

    • Open your browser (e.g., Safari on iPhone) and log in to Wavo Health at https://secure.wavo.health/en/sign-in.

    • Alternatively, use the upcoming Wavo mobile app for easier access (see Wavo Health Features Overview).

  2. Start a New Document:

    • From the sidebar, click “New Encounter” to create a new clinical note.

  3. Upload the Audio File:

    • In the document editor, find the “Upload Audio” button (as shown in the screenshot)—it’s typically a paperclip icon or labeled “Upload File.”

    • Tap the button to open your device’s file selector.

    • Navigate to your audio file (e.g., a voice memo in MP3 or M4A format) and select it.

  4. Wait for Transcription:

    • Once uploaded, Wavo’s AI will transcribe the audio into text, labeling speakers (e.g., “Patient: I’ve been feeling anxious”).

    • The transcription will appear in the “Transcription” tab, ready for formatting into a clinical note.

Option 2: Upload from the Documents Page Dashboard

  1. Access the Dashboard:

    • Log in to Wavo Health on your mobile device.

    • From the sidebar, go to the “Home” or “Encounters” section to view your documents dashboard.

  2. Upload the Audio File:

    • Look for the “Upload ” option (as shown in the screenshot).

    • Tap to open your device’s file selector.

    • Choose your audio file (e.g., MP3, M4A) and upload it.

  3. Transcription and Organization:

    • The file will be transcribed automatically, and a new document will be created in your dashboard.

    • You can then apply a template (e.g., Mental Health Note) or use Smart Transform to refine the note (see Using Smart Transform to Edit Clinical Notes).


Special Instructions for iPhone Users

To upload audio files from an iPhone, ensure your files are stored in an accessible folder:

  • Voice Memos App:

    • Record your encounter or dictation using the Voice Memos app, which typically saves files as M4A.

    • Share the recording to the “Files” app: Tap the recording, select “Share,” then save to “Files” (e.g., in the “On My iPhone” folder).

  • Other Apps:

    • If using a third-party app (e.g., a recorder saving as MP3), ensure the file is saved to the “Files” app or iCloud Drive.

  • Accessing During Upload:

    • When uploading in Wavo, the file selector will let you navigate to the “Files” app or iCloud Drive to pick your audio file.

    • If the file isn’t accessible, move it to a folder like “On My iPhone” or “iCloud Drive” before uploading.


Tips for Uploading Audio Files

  • Combine with Templates: After uploading, apply a template (e.g., SOAP or Mental Health Note) to structure the transcription (see Using Sample Mental Health Templates).

  • Refine with Smart Transform: Use Smart Transform to adjust the transcribed note (e.g., “Add headings”) without manual edits (see Using Smart Transform to Edit Clinical Notes).

  • Export for Sharing: Once transcribed, export the note as a PDF to share with patients or integrate into your EMR (see Copying and Creating Documents from Dictated Notes).


Troubleshooting

  • File Not Uploading?: Ensure your audio file is in a supported format (e.g., MP3, M4A) and stored in an accessible folder like “Files” or iCloud Drive.

  • Transcription Errors?: Check the audio quality—background noise can affect accuracy. You can edit the transcription manually or use Smart Transform to refine it.

  • Can’t Find the Upload Option?: Look for the “Upload Audio” button in the document editor or the “Add File” option on the documents dashboard.
