Use audio upload when a visit was recorded outside Wavo or when you already have a voice memo or other audio file. Wavo uploads the file, transcribes it, and generates the clinical note.
Website workflow: File upload is available in the Wavo website, including when the website is opened in a phone browser. The native iPhone and Android app records encounters directly and does not include a file picker for importing an external recording.
Supported files and size handling
Wavo accepts standard audio files supported by your browser, including MP3, M4A, WAV, AAC, and WebM.
Up to 100 MB: the file uploads directly.
Over 100 MB: Wavo offers Compress & Upload. Compression runs on your device before upload and shows its progress.
Keep the page open during file preparation and upload. Once the server accepts the file for processing, you can navigate away and Wavo continues generating the note in the background.

Upload from the Documents dashboard
Sign in at https://secure.wavo.health/en/sign-in.
Open the Documents dashboard.
Select Upload Recording or Upload audio.
Choose the audio file from your device.
If prompted, choose Compress & Upload and wait for compression to finish.
Wavo creates and opens the new encounter. Follow the processing status until the note is ready.
Upload in an existing encounter
Open the encounter.
Select Upload audio in the encounter controls.
Choose the file and use Compress & Upload if prompted.
Keep the page open until upload completes.
What happens next
The encounter moves through stages such as Uploading audio, Transcribing audio, Analyzing content, and Finalizing note. When processing finishes, review the transcript and generated clinical note.
You can assign a patient, choose a template, and edit or export the completed note. Always review AI-generated documentation before using it in a patient record.
Upload an iPhone Voice Memo through the website
In Voice Memos, open the recording and tap Share.
Choose Save to Files.
Open Wavo in Safari, then use Upload Recording or Upload audio.
Choose the saved M4A file from Files or iCloud Drive.
Troubleshooting
The file will not upload
Confirm it is an audio file, try a current Chrome, Safari, or Edge browser, and check your connection.
For a large file, accept the compression prompt or export a shorter recording.
Compression fails
Confirm the file can play on your device, then try another supported audio format or browser.
Processing does not finish
Refresh the encounter and check its processing status. If it remains failed, email [email protected] with the encounter title and file type.
