How to merge encounters

You can combine up to four existing encounters into a new encounter. This is useful when information from multiple recordings or notes belongs in a single clinical document.

Merge encounters

  1. Open the Encounters sidebar.

  2. Select Support & Tools (•••).

  3. Choose Enter Select Mode.

  4. Select between one and four encounters.

  5. Select Merge.

Wavo combines the selected encounters in chronological order, then creates and processes a new encounter containing the merged information. When processing finishes, the new encounter opens automatically.

What happens to the original encounters?

Your original encounters remain unchanged. Merging creates a separate encounter, so you can review or delete the original encounters afterward if needed.

Merge limitations

  • You can merge a maximum of four encounters at once.

  • You can merge a single encounter to create a newly processed copy.

  • You can only merge encounters that belong to your account.

  • Each selected encounter must contain transcript text.

  • The merged encounter uses the patient assignment from the earliest selected encounter.

  • Processing may take a moment, depending on the length of the selected encounters.

Other selection actions

While in Select Mode, you can also:

  • Assign selected encounters to a patient

  • Export selected encounters

  • Move selected encounters to the trash

Troubleshooting

The Merge button is disabled

Make sure you selected at least one and no more than four encounters.

An encounter could not be merged

One of the selected encounters may not contain usable transcript text. Try merging the encounters individually to identify the affected encounter.

The merged encounter is still processing

Longer encounters may require additional processing time. You can leave the page and return to the new encounter later.
