How to Upload and Use Document Attachments in Wavo Health

Give Wavo’s AI scribe richer clinical context by uploading supporting documents—such as lab results, imaging reports, or referral letters—so it can draft more complete and accurate clinical notes for you.

Overview

When you upload files—such as PDFs, Word documents, text files, or images—into the Notes and Context section of an encounter, Wavo automatically extracts the text and uses it as additional context for clinical note generation.

The AI Assistant can also reference uploaded attachments when answering questions during or after the encounter. Once your note is finalized, you can review it and export or copy it into your EMR as usual.


Why Upload Documents to Wavo?

Uploading supporting documents gives the AI scribe more context and reduces manual work:

  • Better note drafts
    When Wavo has access to lab results, imaging reports, or referral letters, it can generate more informed and complete clinical notes.

  • Ask questions about documents
    The AI Assistant can reference uploaded files to answer questions like:
    “What were the key findings in the lab report?”

  • Reference material at a glance
    Preview documents directly within the encounter—no need to switch between systems.

Note: Always review AI-generated notes for accuracy before exporting the final version to your EMR.


Supported File Types and Limits

  • Images: PNG, JPEG, JPG, GIF, WebP

  • Documents: PDF, Word (.docx), Plain Text (.txt)

File size limit

  • Maximum size: 200 MB per file

Note: Legacy .doc files are not supported. Please save them as .docx in Microsoft Word before uploading.


How to Upload Attachments

Step 1: Open or Create an Encounter

  1. Sign in to Wavo Health at
    https://secure.wavo.health/en/sign-in

  2. Open an existing encounter from your dashboard, or click New Encounter to start a new session.

Step 2: Open the Notes and Context Section

  1. On the right side of the encounter screen, locate the Notes tab (notepad icon).

  2. Click the tab to expand the Notes and Context panel.

Step 3: Upload Your File

You can upload files in two ways:

Option A – Upload button

  • Click the upload icon (upward arrow) in the top-right corner of the Notes and Context section.

  • Select one or more files from your device.

Option B – Drag and drop

  • Drag a file from your computer and drop it directly into the Notes and Context area.

Step 4: Wait for Processing

After uploading, you’ll see the message:
“File uploaded successfully. Text extraction is in progress…”

Each attachment appears as a tag with a status indicator:

  • Spinning icon: File is processing

  • Green checkmark: Text extraction is complete and ready for use

  • Red “Failed” label: An issue occurred—try re-uploading the file

Step 5: Preview Your Attachment

Click an attachment tag to open a preview drawer on the right:

  • PDFs: Display in an inline viewer

  • Images: Display as a full preview

  • Word and text files: Show extracted text content


Managing Your Attachments

  • Delete an attachment
    Click the X on an attachment tag to remove it from the encounter.

  • Multiple attachments
    Upload as many files as needed. All attachments appear in the Notes and Context section.


How Attachments Work with AI-Generated Notes

When you generate a clinical note, Wavo automatically includes extracted text from all uploaded attachments as part of the encounter context. For example:

  • Lab results may inform the assessment and plan

  • Imaging reports provide additional clinical background

  • Referral letters add relevant history to the narrative

Generate a Note Without Recording

You do not need to record or transcribe a session to generate a note.

If you’ve uploaded documents and added typed notes in the Notes and Context section, you can click Generate Note from Context. Wavo will draft a clinical note using the attachments and notes alone.

This is useful for:

  • Summarizing outside records

  • Drafting referral letters

  • Creating notes from pre-written documentation

As always, review the final note for accuracy and completeness before using it in your workflow.


Querying Attachments with the AI Assistant

The AI Assistant can answer questions about uploaded documents.

How to ask questions

  1. Click the AI Assistant tab on the right side of the encounter.

  2. Ask a question related to your attachments, such as:

    • “What were the key findings in the lab report?”

    • “Summarize the referral letter from the specialist.”

    • “What medications are listed in the uploaded records?”

    • “Are there any abnormal values in the test results?”

  3. The AI Assistant references extracted text from your attachments, along with encounter notes and transcription, to provide an answer.

Always verify AI-generated responses against the original documents.

Tips for Best Results

  • Upload before generating notes
    Upload documents before clicking Generate Note so the AI has full context. Recording is optional.

  • Use clear file names
    Example: CBC_Results_Jan2026.pdf

  • Add typed context
    Supplement attachments with notes in the Notes tab for even better results.

  • Check extraction status
    Wait for the green checkmark before generating notes or querying the AI Assistant.

  • Review AI output
    Always review and finalize notes before exporting to your EMR.


Troubleshooting

File not uploading?

  • Confirm the file type is supported and under 200 MB.

  • Refresh the page and try again.

Text extraction failed?

  • Files with complex layouts or low-resolution scans may not extract fully.

  • Try re-uploading and ensure scanned documents are clear.

  • You can always preview the original attachment.

Can’t see attachments?

  • Make sure the Notes tab is open on the right side of the encounter.

  • Try resizing your browser window.

Upload button disabled?

  • The upload button is temporarily disabled while recording, uploading another file, or saving a note.

  • Wait for the current action to finish.
