How to Manage Your Wavo Subscription

Start a free trial, upgrade your plan, manage billing, or cancel your subscription from your Wavo account.


Before You Subscribe

Wavo offers three self-service plans on the web:

  • Starter

  • Pro

  • Intelligence

You can also try Wavo before subscribing.

Free encounters

Every account includes 15 free encounters before a paid subscription is required.

Free trial

Eligible users can start one 7-day free trial per account to explore paid features before billing begins.


Upgrade Your Plan

There are two ways to upgrade your subscription.

Option 1: From the Sidebar

This is the fastest way to subscribe or change plans.

  1. Sign in to Wavo.

  2. Click the upgrade button at the bottom of the left sidebar.

  3. Select your plan:

    • Starter

    • Pro

    • Intelligence

  4. Choose Monthly or Yearly billing (when available).

  5. Review your pricing.

  6. Click Start Trial or Subscribe.

If you're starting your first paid subscription, you'll be redirected to secure checkout.

If you already have an active web subscription, Wavo updates your existing subscription automatically.

Depending on your account, you may see:

  • Start Your Journey

  • Trial in Progress

  • Unlock Full Access

  • Wavo Plan Active

  • Wavo Trial Active


Option 2: From the Subscription Page

  1. Click your profile in the sidebar.

  2. Select Manage Subscription.

  3. Click Manage My Subscription if prompted.

From this page you can:

  • View your current plan

  • See renewal or cancellation dates

  • View included features

  • See monthly usage (Starter plan)

  • Upgrade or downgrade your plan


Manage Your Subscription

Web subscriptions include several management options.

Change your plan

  • Open Manage Subscription, then select Change Subscription.

  • Choose your new plan and confirm the change.


Update your payment method

Click Manage Billing.

This opens the secure billing portal where you can:

  • Update your payment method

  • Download invoices

  • View billing history


Cancel your subscription

  1. Open Manage Subscription.

  2. Click Cancel Subscription (or Cancel Trial).

  3. Tell us why you're leaving.

  4. Review any available retention offer.

  5. Confirm cancellation.

You'll continue to have access until the end of your current billing period or trial.


Renew a cancelled subscription

If your subscription is scheduled to end but is still active, click Renew Subscription to continue without interruption.

If your subscription has already expired, click Resubscribe to start again.


Start or Use Your Free Trial

Who is eligible?

Users who have never used their one-time trial can start a 7-day free trial.

You can start it from:

  • The sidebar upgrade button

  • The subscription page


What's included?

Your trial includes all features available in the plan you selected.

Billing begins automatically when the trial ends unless you cancel beforehand.


Cancel before you're charged

To avoid billing:

  1. Open Manage Subscription.

  2. Click Cancel Trial before the trial expires.


Already used your trial?

If you've already used your free trial, you can still subscribe to any plan without starting another trial.


Wavo Plans

Starter

Ideal for lighter documentation needs.

Includes:

  • Up to 40 notes per month


Pro

Best for providers documenting every day.

Includes:

  • Unlimited notes


Intelligence

Everything included in Pro, plus:

  • Advanced clinical AI

  • Patient context

  • Coding support

  • Additional AI-powered clinical tools


Mobile Subscriptions (iOS & Android)

If you subscribed through the App Store or Google Play, your subscription is managed by Apple or Google.

On the Wavo website you can

  • Sign in and use your account

  • View your subscription status

On the Wavo website you cannot

  • Cancel your mobile subscription

  • Change plans

  • Update payment information

Manage your subscription through your device:

iPhone

Settings → Apple ID → Subscriptions → Wavo Health

Android

Google Play Store → Payments & subscriptions → Subscriptions → Wavo Health

If you accidentally have both a web and mobile subscription, contact support for assistance.


Legacy Plans

Some long-time customers remain on grandfathered pricing.

Switching to a current Starter, Pro, or Intelligence plan may permanently remove your legacy pricing.

If you're unsure whether you should switch, contact Wavo Support before making changes.


Usage Limits

Free encounters

After using your 15 free encounters, you'll be prompted to subscribe or begin an eligible trial before creating additional notes.


Starter monthly limit

Starter includes 40 notes per month.

Once you reach your limit:

  • Wavo notifies you

  • The upgrade window opens automatically

  • You can upgrade to Pro or Intelligence


Troubleshooting

My payment didn't go through

Verify your payment details and try again.


My subscription didn't update

Refresh the page and reopen Manage Subscription. Changes can take a few moments to appear.


I subscribed on mobile but don't see my subscription

Make sure you're signed in using the same email address used on your mobile device.


Wavo says I have no active subscription

You may have a mobile subscription or your account may need to refresh.

If the issue continues, contact Wavo Support.
