This guide is for the Wavo Health iOS and Android app. After you finish the visit, Wavo uploads the recording, transcribes it, and generates the note. You can close the encounter and keep working while that runs.
Before you start
Allow microphone access when the app asks. If recording will not start, see Troubleshooting Microphone Access on the Wavo Mobile App.
Put the phone where it can hear both you and the patient.
Optional: turn on Focus or Do Not Disturb so calls are less likely to interrupt the visit.
Step 1: Start a new encounter
Open the Wavo Health app.
Open the menu and tap Encounter, or start a new encounter from Clinical Notes.
The encounter sheet opens. You will see Tap to start encounter.
Optional before you record:
• Tap Patient to assign an existing patient or create one.
• Tap Template and choose from My templates or Team templates.
Tap Start.
Speak with your patient as you normally would. You do not need to narrate the note. Wavo uses the completed recording to generate documentation after you finish.
Step 2: Pause or resume if you need to step away
Tap Pause to stop capturing without generating the note.
Wavo saves the audio recorded so far. The encounter stays open. Tap Resume when you are ready to continue. Each resume starts a new audio segment of the same visit.
There is no short time limit on a paused encounter. You can pause between patients or later in the day.
Pause vs Finish
Pause — temporarily stop capturing. No note is generated yet.
Finish Note / Finalize Note — end the visit and generate the clinical note. This cannot be undone.
If a phone call takes the microphone, the visit is marked Interrupted. Capture does not resume on its own. Tap Resume when you are ready. See Recording in the Background and During Interruptions.
Step 3: Finish the visit
When the encounter is complete:
Tap Finish Note (or Finalize Note if the visit is already paused).
Confirm Finish Note / Finalize.
Wavo saves the recording, then shows progress such as Uploading Audio, Transcribing, Analyzing, and Finalizing.
You can close the sheet and keep using the app. The encounter list shows Processing until the note is ready, or Failed / Audio Pending if something still needs to upload.
If you are offline, the recording stays on your phone until you reconnect. Do not sign out or delete the encounter while a recording is still waiting to upload.
Step 4: Review the note
When processing finishes, open the encounter from Clinical Notes.
Read the Clinical Note.
Tap Edit if you need to change the text, then Save.
Use the copy control to copy the note and paste it into your EMR.
Open Actions to View Patient, Reprocess, or Delete Encounter.
Always review AI-generated notes before you use them in the patient record.
Tips
Assign the patient before or after the visit. You can still generate a note without a patient assigned.
Create custom templates on the web, then select them in the app.
If this encounter is already recording on another phone or on the web, you will see Recording on another phone or Recording on web. Choose Record here only if you intend to take over. See Switching Between Phone and Web During an Encounter.
Troubleshooting
Recording will not start
Check microphone permission, then try Start again.
The encounter is stuck on Processing or Audio Pending
Keep the app open on Wi-Fi or cellular until the upload finishes. If it stays stuck, open Profile → Storage. See Recovering Saved Recordings if an Upload Fails.
I paused by mistake
Tap Resume to continue the same encounter. Do not tap Finish Note until the visit is actually over.
